How to secure your sensitive OneDrive files with a Personal Vault

1) Choose a secure password

The Vault by Microsoft makes it easy for you to securely store all your important documents. You can find the most popular vault security options on the left-hand side of the vault, and decide which of them is best for you. You will remain visible, but not accessible, until you need to access your files in a limited timeframe. After that, the vault will lock again after a certain period of time.

To get the most out of the Personal Vault, you need to have either a Microsoft 365 Family or Personal subscription. With one of these plans, you can add as many files to your personal vault as space allows. You cannot create the Personal Vault with a free Microsoft account or a OneDrive for Business account, but it works just the same in Windows 10 and 11.

  1. Protect your Microsoft account and OneDrive access

Before you activate the Personal Vault, make sure to protect your Microsoft account as well as OneDrive access with a multi-factor authentication method. For this, you can use an authenticator app like the Microsoft Authenticator that sends a notification to you when you need to unlock it.

Microsoft screens sign-in requests on your behalf. Sign up using your Microsoft account or Microsoft Outlook settings to get a quick approval.

Turn the Personal Vault on to organize all your content keywords.

Compared to other image-editing apps, Paint.NET doesn’t require you to be at a computer, but you still get the power of layers, filters and object exporting.

  1. Right-click the OneDrive System Tray icon and select “View online”

The first step of using a Microsoft OneDrive is to sign in with your Microsoft account. To authenticate this access, use the multi-factor authentication option on your account. In order to continue, our next guide will ask you to approve the login through the app.

  1. Move the files you want to protect

Now that you know what to protect in the Personal Vault, click the Move from heading at the top of the screen. Consider which files contain your most private or confidential information, including financial and personal ID numbers.

You’ll find some “Move Items” in the left sidebar of your OneDrive. Just click these and choose which folders you want to preserve. Then click “Close Explorer.” Keep the Explorer window open, because you’ll need to select the files you want from there.

When OneDrive syncs folders and files to your local storage, it doesn’t sync them all the time. You must wait for the folders and files to sync first before they’re accessible on your device.

Once you make your selections, the folders and files should appear in the Personal Vault. CloseOneDrive online site and wait for the selected files to sync to your local OneDrive storage.

Set the amount of time the Personal Vault will wait to automatically lock

After activating your Personal Vault, it’s important to tweak one setting. Right-click the OneDrive System Tray icon and select Settings. Select the Account tab and click the dropdown menu for Personal Vault. Here, you’ll find that you can choose a duration time for when it automatically locks after unlocking it. I set mine for 20 minutes but maybe you want to set yours for longer than that. Click OK.

The Personal Vault content is refreshed every 15 minutes.

Set your password to automatically change every 30 days, as well as lock it when you’re not using it for a certain amount of time.

To access files in your Personal Vault, click Unlock Personal Vault

If you need to access certain files in your Personal Vault, click the OneDrive System Tray icon and select Unlock Personal Vault.

With your personal vault, you have ultimate control over what data to store and share with the public. You have the option to unlock your personal vault whenever you choose.

Your Personal Vault is only accessible to you and your approved assistants. You’ll also have the option in your account settings to toggle $5/month charge from being charged on inactive accounts.

The Personal Vault prompts you to configure some settings the first time you use it, so be sure to confirm your authentication methods.

  • After that, it’s simple: The Personal Vault asks for access confirmation only one time and stores your information securely where you need it to shine.

The sign in request process is simple and quick. The process begins with the person making the sign in request gathering their data, then submitting it to our support team who will review the credentials for a possible match.

While two-factor authentication is a good idea and several people should definitely use it, it’s not enough.

Use a Personal Vault to lock your personal folder by adding passwords to folders, folders only you can access, and all shared folders.

OneDrive now comes with a feature called the Personal Vault where you can set file and folder permissions. After securing your vault, wait for it to automatically close or click on File Explorer > OneDrive.

Moving folders out of the Personal Vault is possible. You can do it by going to your online OneDrive storage, opening the folder in question, and choosing Move from at the top. From there you will see an option for moving to something else buried inside OneDrive that’s stockier and much more versatile.
